Wine Price List Automation Challenge for a Multi Market Wholesaler

Kate & Kon is an Austrian wholesale beverage distributor founded in 1994, serving Austria, Germany and a set of export markets. The catalogue includes still wines, sparkling wines and spirits, sold to restaurants, retailers and resellers.

For a wholesale operation of this kind, the price list is not a marketing brochure. It is the working document that customers, resellers and internal teams rely on to confirm assortment, prices, pack formats, availability and commercial conditions. Each update cycle has to land accurately across every market version, because the document is what gets quoted, ordered against and referenced in case of dispute.

By 2018 the team needed to manage:

  • Different price list editions for Austria, Germany and export, sharing 90% of the assortment but diverging on prices, commercial notes and product-specific uplifts.
  • Wine, sparkling wine and spirits categories, sometimes published as combined catalogues and sometimes as dedicated lists.
  • Pack formats including single bottles, six bottle cases and wooden cases.
  • Terms and Conditions sitting at the back of every edition, updated on a different schedule from the product data.
  • Several update cycles a year, driven by new vintages, producer changes and seasonal listings with vintage and bottling year shown for every wine.

Maintaining each market version manually in InDesign meant duplicating the same edit across documents and risking a miss at every cycle. The team wanted a workflow that would scale with the business instead of working against it.

When Kate & Kon first contacted Pagination, the brief was specific. They wanted multiple price list versions generated from one layout by mapping different data fields, and they wanted the production scheduled via API, with the output ready in the morning so that the team could pick up the finished files instead of rebuilding them.

This shaped the project: not a one off design job, but a publishing workflow that would keep running.

Kate & Kon adopted Pagination price list software to convert recurring price list production into a structured publishing process. The architecture has three parts.

One data source. Product, pricing, availability and category information lives in the company source data. Pagination reads it on each generation cycle. Prices are edited there, not inside the document.

One InDesign price list template. The template defines the layout once. Conditional sections decide what appears in each market version. The template gets touched when the visual design changes, not per market.

Rules in the data layer. Market specific pricing, category filters, pack format rules and Terms and Conditions inclusion are encoded as fields in the data and resolved before the document is generated. The template renders whatever the rules layer produces.

From this single setup the workflow produces the Austrian price list, the German price list, the dedicated sparkling wine list and the export price list, each with the right product selection, the right commercial notes and the right legal section.

Why the Workflow Has Lasted Six Years

The value of the project comes from the way the workflow separates data, rules and layout. Three architectural choices made the difference:

  • Separation of data, rules and layout. Product data sits with the commercial team. Legal text sits with the team that owns it. The template sits with the design function. None of these teams edits the others’ files, so each can move at its own pace without breaking the catalogue.
  • One template instead of one file per market. Maintaining a separate InDesign file per country would have drifted within a year. A single template with conditional sections keeps every market version consistent by construction.
  • Scheduled generation. Producing the documents on a schedule instead of on request shifted catalogue production from a manual event to a steady state. The team starts each cycle from a finished draft, not from a blank page.
