This case study shows how a mid-sized German asset manager replaced a fragile internal workflow for monthly fund fact sheet production with a scalable automated publishing process.

The goal was not to redesign the entire document from scratch. It was to preserve a familiar reporting structure while removing the repetitive manual work behind it.

The Starting Point: A Local Word-Based Workflow

Before working with Pagination, the firm was producing fund fact sheets through a legacy system built years earlier in Microsoft Word by a former IT employee.

The process still worked, but it had become difficult to maintain:

  • the tool ran locally on a single machine,
  • there was little or no documentation,
  • charts had to be redrawn manually,

Why the Process Was No Longer Sustainable

The firm needed to update 500 to 800 fund fact sheets every month, each containing a mix of performance data, commentary, charts, tables, and regulatory pages.

Three different layout variations also had to be managed across asset classes.

At this scale, the old workflow created too much dependency on manual intervention and too much operational risk.

Streamlined Monthly Fund Fact Sheet Production

Pagination rebuilt the existing fund fact sheet structure in Adobe InDesign, keeping the overall document familiar while improving its production logic.

The implementation included:

  • three automated template variations for different asset classes,
  • field mapping from Excel data into the layouts,
  • dynamic chart generation from source data, including automatically generated financial charts and graphs,
  • batch creation of all monthly PDFs,
  • EU server options for data residency,
  • ongoing support and SLA options.

This allowed the firm to keep continuity in the output while changing how the documents were produced.

How The Monthly Process Changed

Before Pagination, the team had to work fund by fund. After implementation, the workflow became faster:

  1. prepare the updated data file,
  2. upload the batch,
  3. generate all fund fact sheets at once,
  4. download the PDFs for distribution.

Instead of spending days on repetitive document production, the team moved to a process measured in minutes.

The main results were:

  • 500 to 800 fact sheets generated automatically each month,
  • monthly production time reduced from days to minutes,
  • three layout variants managed within one publishing workflow,
  • EU server options enabled for data residency requirements,
  • total annual cost kept well below larger incumbent alternatives.
