Like many industrial manufacturers, FITT relies on quotations and commercial offers to win and retain customers across multiple markets and segments. These offers must be both technically accurate and fully aligned with the brand. To streamline this process and move beyond generic system output, FITT turned to Pagination.

The Challenge: Generic SAP Forms That Did Not Reflect the FITT Brand

FITT’s commercial offers are created in SAP, which generates standard offer forms as PDF files. These documents contain all the necessary commercial information, but the layout is generic and not aligned with FITT’s visual identity in terms of colors, fonts, and branding.

On top of that, sales and marketing teams wanted each offer to be enriched with product images, technical documentation, and links to web pages. Doing this manually would have required significant effort for every quote, with a high risk of inconsistencies and errors, especially when working in multiple languages.

FITT needed a solution that could:

  • Take SAP-generated offer PDFs as input, without changing the core ERP workflow
  • Enrich them with product information from the PIM (images, categories, descriptions, technical sheet links, web page URLs)
  • Produce fully branded, multi-language offer documents in line with FITT’s corporate communication
  • Integrate seamlessly with existing systems, without forcing sales users to learn a new web application

Pagination’s Solution: Automated Offer Documents Driven by SAP and PIM Data

Pagination implemented an automated publishing workflow that converts SAP offer forms into professional, branded documents by combining data from SAP and FITT’s PIM.

Data Extraction from SAP Offer PDFs

SAP continues to generate offer forms as PDF files, preserving FITT’s existing ERP processes and approvals. Pagination created a personalized script that reads these PDFs and merges these data into FITT’s InDesign templates. 

This approach allows FITT to reuse its current SAP layouts and logic while unlocking the data for automated publishing.

Enriched Product Data from the PIM

In parallel, FITT exports product data from its PIM system. This export includes product images, links to technical data sheets, web page URLs, product categories, and product descriptions.

Pagination combines the SAP-derived offer data with PIM data, so each item in the offer is enriched with visual and technical information pulled from a single, authoritative source.

Dynamic Cover Page

Each generated offer starts with a fully branded cover page that includes dynamic information such as customer name, customer and offer codes. 

These fields are automatically filled based on the SAP offer data, ensuring that every document appears tailored to the specific customer without manual editing.

Product Map as an Indexed Overview

After the cover, the document includes a “map” of FITT’s industrial product range, acting as an index. This page is built from PIM data and visually presents the available product families.

Only the product families and items actually included in the current offer are linked, allowing the customer to navigate quickly to the relevant sections of the document.

Offer Conditions and Commercial Tables

The core of the document is the offer section itself, which includes:

  • General terms and conditions
  • Transport conditions
  • Packaging information
  • A detailed offer table listing product code, product name, and price

This structure ensures that customers see a complete, clear, and professionally formatted proposal, with all commercial conditions in one place.

Multilingual Output

FITT serves international customers and needs to issue offers in several languages. Pagination’s workflow supports five languages from the same data and layout structure.

The underlying content is driven by SAP and PIM, while the language-specific elements are managed within the template and data setup, allowing FITT to generate localized offers without duplicating effort.

API-Based Integration and Secure File Exchange

Rather than using a separate web interface, FITT’s IT team developed a connector that integrates directly with Pagination’s APIs.

Sales teams continue to work inside SAP, while the entire document generation process runs in the background.
